At the first time, you have to enter org Id, Professional Id, and password. If you are using the same computer as before, the Org Id and Professional Id are autofilled for you. You have to enter the password always. This is set up like this to have better security.

Find the drop down selection named 'Go Num. Weeks Forward' on the top right side of the professional interface window. Use this drop down selection to go to later week(s)'s time slots. This selection button is disabled when you are at the last possible calendar week.

Find the drop down selection named '||||||---Scroll for More Data---||||||' on the bottom middle of the professional interface window. Use this drop down selection to go to later hours or earlier hours of the day. This selection button is disabled when this week's data fits in one window and there is no more data to browse vertically.

How do I identify an occupied slot ?

The time-slot colored pink red corresponds to an occupied slot. That means a customer has allready scheduled that time.

The slot information of the occupied slot can be seen in a new window that pops up when the occupied slot is clicked.

Who signed up for this slot ?

from the slot information window, click on the button 'Cust Info' to see the information of the customer that signed up for that slot.

Please note that if the customer cancelled that appointment while you are finding who is in that slot, then the slot changes its color to show that it is no longer an occupied slot and is now available to customers. A message is diplayed in the bottom portion of the profesional interface window.

The time-slot colored lavender blush corresponds to an available slot. That means this time slot is available for customers to schedule.

Can I restrict acccess to a particular slot by making it Unavailable to Customers ?

Yes, you can turn the available time slot into unavailable time slot.

  1. Click on the available slot (lavender blush). New window titled 'Modify Available Slot' pops up.

  2. From the "Modify Available Slot" window click on the button 'Make Unavailable'. A dialog window "Please Remember" pops up with a comment indicating that you can reverse the current modification if you choose before saving all the selected modifications.

  3. Click on 'OK' button from the dialog window. The two small windows, Dialog window and "Modify Available Slot" window, will disapper. And the color of the slot turns yellow.

  4. Now you are back in to the Professional Interface Window again. If you have more modifications to make to the slots, proceed with those modifications before saving all modifications.

  5. Follow the procedure SAVE-MODIFICATION(S). If the update is successful, this color changes from yellow to a shade of blue. A shade of blue indicates that this slot is no longer available to customers.

Can I assign a customer to the available slot ?

Yes, you can assign a customer(user) to the available time slot.
  1. Click on the available slot (lavender blush). New window titled 'Modify Available Slot' pops up.

  2. From the "Modify Available Slot" window , enter a valid customer id value in to the 'User Id' field and click on 'Assign User' button. A dialog window "USER INFO" pops up with the customer information and a comment indicating that you can reverse this modification assignment if you choose to do so before saving all the selected modifications.

  3. Click on 'OK' button from the dialog window. The two small windows, Dialog window and "Modify Available Slot" window, will disapper. And the color of the slot turns yellow.

  4. Now you are back in to the Professional Interface Window again. If you have more modifications to make to the slots, proceed with those modifications before saving all modifications.

  5. Follow the procedure SAVE-MODIFICATION(S). If the update is successful, this color changes from yellow to pink red. Pink red indicates that this slot is assigned to a customer.

How do I identify slots not available to customers ?

The time-slot colored with a shade of blue corresponds to an unavailable slot. That means this time slot is not available for customers to schedule.

Can I open an unavailable slot to customers by making it available ?

Yes, you can turn the unavailable time slot into an available time slot.

How do I create new slots from an unavailable slot ?
  1. From the Professional interface screen,choose an unavailable slot (a shade of blue) to modify.Click on this slot. New window titled 'Modify Unavailable Slot' pops up.

  2. Click on the button 'Split Time' from the window "Modify Unavailable Time". A new window titled "MAKING NEW SLOTS" pops up.

  3. At the given start time displayed in the window titled "MAKING NEW SLOTS" , think about the following two questions and have the new values for 'Type' and 'Duration ready:


    i) At this given start time, What state (Available or Unavailable) I want to be for customers?
    type = 'A' for Available state or
    type = 'U' for Unavailable state or
    (or 'H' for Holiday or 'V' for Vacation)

    ii) How long I want to be in the state determined above?
    d = duration in minutes

    Once you have answers to the above questions, you are ready to make a new slot with these two answers:

    • Highlight the duration value.
      ( Highlighting is simple : Bring the cursor to the begining of the value in the duration field. Press the left button of the mouse and drag the cursor over the entire value to the end of the value and then release the mouse button)

    • Enter new value, for duration, over the highlighted value.

    • And press Tab key. You will find a new slot created with this duration.

    • Enter 'A' or 'U' or 'H' or 'V' in to the blank value of the newly created slot type.

    EXAMPLE:

    Let the initial unavailable slot starts at the early hours 00:00AM and the unavailble time duration is the whole day (24 hrs = 24 * 60 = 1440 minutes).
    Suppose you look at the start time of 00:00AM and decide that you want to be unavailable till 8:00AM. Now the answers to the questions are
    (i) 'U' and
    (ii) 480 (8 * 60 = 480 min)

    Now what you have to do is
    i) Highlight 1440
    ii) Enter 480
    iii) Press Tab Key
    iV) Enter 'U'

    You have this new slot created for 480 min (8 hrs).


  4. Repeat step 3 as many times as needed to create the required new slots. Every time start at the appropriate start time and follow the same procedure as above.

    EXAMPLE CONTINUED:

    As a continuation to the same example as above, start at 8:00 AM and, add eight 30 min slots that are available to customers:

    • At start time of 8:00AM; Highlight 960, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 8:30AM; Highlight 930, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 9:00AM; Highlight 900, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 9:30AM; Highlight 870, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 10:00AM; Highlight 840, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 10:30AM; Highlight 810, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 11:00AM; Highlight 780, Enter 30, Press Tab Key, Enter 'A'
    • At start time of 11:30AM; Highlight 750, Enter 30, Press Tab Key, Enter 'A'

    Make a 60 minute break time at 12:00NN.

    • At start time of 12:00AM; Highlight 720, Enter 60, Press Tab Key, Enter 'U'

    Make four 60 min slots available starting at 1:00PM

    • At start time of 1:00AM; Highlight 660, Enter 60, Press Tab Key, Enter 'A'
    • At start time of 2:00AM; Highlight 600, Enter 60, Press Tab Key, Enter 'A'
    • At start time of 3:00AM; Highlight 540, Enter 60, Press Tab Key, Enter 'A'
    • At start time of 4:00AM; Highlight 480, Enter 60, Press Tab Key, Enter 'A'

    Lastly, make an unavailable slot from 5:00PM to the end of the day. This is already there as the last slot. Modify the "Type' as 'U' if required.

    Use the buttons "Next Slots' or "Prev Slots' and click on them to scroll over the slots.

  5. Click on 'OK' button to complete this modification (splitting) of slot selected in step 1.

    The two windows - "MAKING NEW SLOTS" and " Modifying Unavailable Slot' will disappear. The slot, selected in step 1, will turn yellow indicating that this slot is ready to be saved (to be actually split into smaller slots).

  6. Now you are back in to the Professional Interface Window again. If you have more modifications to make to the slots, proceed with those modifications before saving all modifications from the professional interface screen.

  7. Follow the procedure SAVE-SELECTED-MODIFICATION(S). If the update is successful, the newly created slots can be seen in the professional interface screen.

How do I make new slots by copying from a previous day ?

  1. From the Professional interface screen, choose an unavailable slot (a shade of blue) that has a duration value of 1440. Click on this slot to modify. New window titled 'Modify Unavailable Slot' pops up.

  2. Click on the button 'Split Time' from the window "Modify Unavailable Time". A new window titled "MAKING NEW SLOTS" pops up.

    Notice a drop down selection button on the top of this window

  3. Select one of the previous days as a selection option from the drop down selection button.

    Notice that the time is split exactly similar to the selected day.

  4. Make changes to the copied items if needed.

    Use the buttons "Next Slots' or "Prev Slots' and click on them to scroll over the slots.

  5. Click on 'OK' button to complete this modification (splitting) of slot selected in step 1.

    The two windows - "MAKING NEW SLOTS" and " Modifying Unavailable Slot' will disappear. The slot, selected in step 1, will turn yellow indicating that this slot is ready to be saved (to be actually split into smaller slots).

  6. Now you are back in to the Professional Interface Window again. If you have more modifications to make to the slots, proceed with those modifications before saving all modifications from the professional interface screen.

  7. Follow the procedure SAVE-SELECTED-MODIFICATION(S). If the update is successful, the newly created slots can be seen in the professional interface screen.

How do I identify slots selected for modification ?

The time-slot colored yellow corresponds to time slot selected for modification. That means, some modification is made on this slot and, it is pending to be saved.

Can I reverse back the modifications sought on a particular slot ?

Yes. You can undo the modification if you change your mind before final update:
  1. From the Professional interface screen, click on the yellow colored slot corresponding to intended cancellation of the earlier modification. New window, confirming your reversing decesion, pops up.

  2. Click on the 'OK' button from the confirming window. A dialog window with a message that you can still reverse the 'undo process' appears.

  3. Click on the 'OK' button from the dialog window.

    You will be back in the Professional Interface Window. The yellow color changed back to appropriate color.

How do I see all the selected modifications ?

While you are making modifications,from time to time, you can see the list of modifications completed so far and pending to be saved.
  1. Click on 'List Modification(s)' button. A new window, titled 'LIST OF MODIFICATIONS', pops up.

  2. If the list is big, use 'Forward' and 'Backward' buttons to scroll.

  3. Click on the button 'OK' to close this window.

How do I save all the selected modifications ?

When you are done with making all modifications, follow the steps below to save these modifications
  1. Click on Save Selected Modification(s) button. A new window, 'FINAL SELECTIONS FOR UPDATE', pops up.

  2. From the "FINAL SELECTIONS FOR UPDATE" window, click on the button 'UPDATE ALL'. Please wait while processing the update request. When the update is complete, a new window titled "STATUS OF REQUESTED MODIFICATIONS" appers in place of "FINAL SELECTIONS FOR UPDATE" window.

  3. Make a note of the status of the update and click on "OK" button from this "STATUS OF REQUESTED MODIFICATIONS" window.

    The color of the time slot(s) changes from yellow to appropriate color depending on the status of the update.
